How we replaced notebooks and Excel with a full accounting system in 25 working days and recovered 108 million UZS in outstanding debts.
Problem
Vitana delivered 19-litre water bottles across Tashkent. All operations ran on notebooks and Excel spreadsheets: drivers logged deliveries by hand, operators transferred data into Excel at end of day, and accounting reconciled everything manually. The main pain point: customer debts were not tracked in real time. Sometimes a client wouldn't pay for 2-3 months and the company only found out at the next meeting. Data-entry errors, losses, and human error translated into real financial losses.
Solution
We built a custom ERP system tailored to the water-delivery business: container tracking (bottles and pallets), debt management, driver routes, and full transaction history per client. The system went live in 25 working days.
Process
Week 1: interviews with operators and drivers, mapping current workflows and pain points. Weeks 2-3: core system development — client database, container tracking, delivery history. Weeks 4-5: debt module, notifications, mobile app integration for drivers. Final week: staff training, testing on real data, go-live.
Result
After launch the company identified 108 million UZS in debts that had gone untracked. Operators save 2-3 hours per day on data entry. Drivers no longer keep paper logs — everything is recorded in the app. Management sees the business state in real time.
